With a presence in global markets, we’re looking for a meticulous Import/Export Documentation Specialist to help with our logistics operations and ensure smooth, compliant international movement of our haircare products.

About the Role

This is a part-time, fully remote role, supporting our global distribution by managing the preparation, accuracy, and compliance of import/export documentation as needed. This position is perfect for someone with a sharp eye for detail, polite disposition and experience in international air & ocean shipping.

Key Responsibilities

Prepare and manage import/export documentation for global shipments, including commercial invoices, packing lists, bills of lading, certificates of origin, and MSDS (Material Safety Data Sheets) for haircare products.
Ensure compliance with international trade regulations, customs requirements, FDA regulations, and country-specific standards related to cosmetics.
Collaborate with freight forwarders, customs brokers, 3PLs, and internal departments (Sales and Operations) to ensure timely and accurate shipment processing.
Monitor international shipments, resolve customs holds or documentation discrepancies, and provide timely tracking updates.
Manage Harmonized Tariff Schedule (HTS) classifications and ensure correct usage of Incoterms.
Maintain accurate and compliant record-keeping for audits and regulatory reviews.
Stay current with evolving global trade policies, tariffs and import/export regulations that affect personal care goods.

Qualifications

2–4 years of experience in international logistics or import/export documentation. Cosmetics, haircare, or beauty industries experience preferred but not required.
Strong knowledge of international shipping documentation, HTS codes, and Incoterms.
Familiarity with global customs and FDA regulations for personal care products.
Geographical knowledge.
Proficiency with shipping platforms.
Strong attention to detail, time management, and organizational skills.
Excellent communication and problem-solving abilities.
