Overview

We are seeking an experienced and proactive Executive Assistant to provide comprehensive administrative and lifestyle management support to an Ultra-High-Net-Worth Individual (UHNW) or senior executive. The ideal candidate will have a proven track record of working with UHNW individuals or C-level executives, demonstrating exceptional organizational skills, a keen eye for detail, and the ability to manage complex schedules, high-pressure situations, and confidential matters.

This role requires a polished professional who can seamlessly coordinate travel, oversee lifestyle services, and handle administrative tasks with discretion and efficiency.

Key ResponsibilitiesTravel Coordination:

Plan and manage detailed travel itineraries, including private jet arrangements, luxury accommodations, and ground transportation.
Ensure all travel schedules are flawlessly executed, handling last-minute changes and ensuring minimal disruption.
Maintain a comprehensive database of travel preferences and ensure consistency across all arrangements.

Executive Administration:

Manage complex calendars, coordinating meetings, appointments, and personal engagements.
Liaise with internal teams, high-profile external contacts, and vendors to ensure smooth communication and execution of initiatives.
Prepare and review reports, presentations, and correspondence with a high degree of accuracy and professionalism.
Secure and manage sensitive information with the utmost discretion.

Lifestyle Management:

Plan and coordinate personal events, oversee gifting, and manage household staff schedules.
Research and book exclusive dining, entertainment, and leisure activities tailored to personal preferences.
Stay informed on luxury brands, services, and destinations to make informed recommendations.

Problem Anticipation and Resolution:

Proactively identify potential challenges and implement effective solutions to ensure smooth operations.
Address urgent, last-minute requests with poise and efficiency, managing priorities seamlessly.

RequirementsSkills & Experience:

A minimum of 5 years of experience as an Executive Assistant, Personal Assistant, or in a similar role supporting UHNW individuals or senior executives.
Expertise in luxury travel planning, private aviation, and high-end accommodations.
Exceptional organizational and multitasking abilities, with meticulous attention to detail.
Strong verbal and written communication skills, demonstrating professionalism and diplomacy.
Advanced proficiency with Google Suite, Microsoft Office Suite, and calendar management tools.
Familiarity with high-pressure environments and the discretion required when working with UHNW individuals.

Preferred Qualifications:

Experience coordinating large-scale or international travel logistics.
Background in lifestyle management or luxury services.
Knowledge of global destinations and an understanding of UHNW preferences and expectations.

Job Type: Full-time

Pay: $62,032.00 - $120,000.00 per year
