ABOUT THE ROLE
I’m looking for a detail-focused, proactive Virtual Assistant based in the Philippines to support a global venue sourcing business with admin, reporting, and document preparation — mostly while I’m offline (UK-based).
This is a very part-time freelance role (8–10 hours/week) with potential to grow. You’ll help manage action lists in Trello, prepare client reports in Cvent, and keep key folders and templates organised across OneDrive and Microsoft 365.
The successful candidate will work closely with me behind the scenes and will be trusted with access to my business inbox, documents, and client files. You must be highly trustworthy, reliable, and comfortable signing a confidentiality and access agreement as required by HelmsBriscoe’s protocol.
KEY RESPONSIBILITIES
Maintain and update my Trello action boards (status tags, priorities, carry-forward tasks)
Link relevant OneDrive folders to Trello cards so documents and reporting are properly referenced
Format Word and PowerPoint documents using branded templates
Rename, organise, and store documents correctly in OneDrive
Draft templated client and venue emails in Outlook for review (you will not send anything directly until trained and approved)
Convert Excel visuals to PDF and insert into PowerPoint reports
Prepare client-facing reports in Cvent using standard layouts and template sections
Perform currency conversions using xe.com when needed for reporting
KEY SYSTEMS YOU’LL USE
Trello – daily workflow and task tracking
Microsoft 365 – Word, PowerPoint, Excel, Outlook
OneDrive – document storage and version control
Cvent – client reporting and venue sourcing platform
xe.com – for live currency conversions (simple reference use)
BONUS SKILLS (NOT REQUIRED, BUT HELPFUL)
Experience scheduling or posting to Instagram or LinkedIn
Basic video editing or content repurposing in CapCut
Able to track post engagement or help prep visuals if needed
IDEAL CANDIDATE
Based in the Philippines
Excellent written English (C1–C2 level)
Highly detail-oriented, consistent, and organised
Familiar with Microsoft 365 (especially Word, Excel, Outlook)
Confident working inside Trello and following structured checklists
Available to work PH mornings (ideally 8am–11am PHT)
Must be honest, trustworthy, and discreet — this role involves access to confidential inboxes, client files, and internal systems
Comfortable signing a HelmsBriscoe Assistant Confidentiality & Access Agreement (issued by HelmsBriscoe USA)
ROLE & PAY
Time commitment: 8–10 hours/week
Schedule: Flexible, ideally between 7am–1pm PHT
Contract: Freelance
Pay: Monthly via PayPal
Rate: £6–£10/hour depending on experience
