Position Summary:
As the Remote Personal Administrative Assistant with a focus on International Relocation Support, you will provide personalized administrative support to the executive team and facilitate relocation services for international employees. This role requires excellent organizational, communication, and problem-solving skills, as well as the ability to manage multiple tasks efficiently while supporting both local and global operations.
Key Responsibilities:
Administrative Support
Executive Assistance: Manage schedules, emails, and phone calls for the executive team. Prepare meeting agendas, take minutes, and follow up on action items.
Document Management: Organize and maintain files and documentation, ensuring quick retrieval and compliance with company standards.
Travel Arrangements: Book flights, accommodations, and transportation for team members, ensuring smooth logistics for international travel.
Event Coordination: Assist in organizing conferences, board meetings, and other events, both virtual and in-person.
Correspondence: Handle confidential correspondence, communicate on behalf of the executive team, and draft professional emails, reports, and other communications.
International Relocation Support:
Relocation Planning: Assist international employees in navigating relocation logistics, including visa processes, housing, and settling in new locations.
Cultural Integration: Support international staff with cultural adaptation, language training, and local resource navigation.
Documentation Assistance: Coordinate necessary paperwork for visas, work permits, and residency applications, ensuring all legal requirements are met for international relocations.
Onboarding: Ensure that international employees have a smooth transition into their new roles, providing necessary information and support regarding housing, utilities, and local services.
Budget Management: Monitor and help with the relocation budget, ensuring that costs are kept within the allocated budget for international moves.
Key Qualifications:
Experience:
* 3+ years of experience in an administrative assistant role (ideally supporting executives or senior leadership).
* Proven experience in relocation coordination, especially for international staff, is highly preferred.
Skills:
* Exceptional organizational and time-management skills, with the ability to manage multiple tasks and deadlines.
* Strong written and verbal communication skills, including the ability to write professional emails and handle confidential information.
* Tech-savvy, with proficiency in using productivity tools such as Microsoft Office, Google Workspace, Slack, Zoom, and other remote communication tools.
* Ability to work independently and take initiative, while being a team player in a remote environment.
* Familiarity with international relocation processes, visa and immigration procedures, and global cultures.
