Why This Role Matters
The Vendor Specialist will be an integral part of Brilliant's Vendor Strategy team, providing essential operational, data management, and communication support. This dynamic role requires a highly adaptable and collaborative individual who thrives in a fast-paced environment. They will be a primary point of contact for our vendors, ensuring smooth day-to-day interactions, maintaining data integrity, and contributing to the efficiency of vendor-related processes. This position directly supports the Program Manager, Vendor Strategy, in building a robust and responsive supplier ecosystem crucial for Brilliant's continuous growth and operational performance.
What You'll Do
Vendor Data Management & Audit:
- Perform regular audits and cleanups of supplier and product data within internal software (e.g., Ada, Wrike) to ensure accuracy and completeness.
- Manage the entry, updates, and maintenance of vendor information, product catalogs, and pricing data.
- Proactively identify and resolve data discrepancies, ensuring reliable information for all internal teams.
- Support the Program Manager in monitoring vendor KPIs and identifying areas for improvement.
Vendor Escalation & Issue Resolution:
- Serve as the first point of contact for non-critical vendor service issues and escalations, triaging and resolving where possible.
- Escalate complex or urgent issues to the Program Manager, Vendor Strategy, providing necessary background information.
- Track and document vendor issue resolution processes to ensure continuous improvement.
Pricing Adjustments & Data Collection:
- Support the implementation and tracking of vendor pricing adjustments, ensuring data is accurately reflected across relevant systems.
- Gather and compile data for various vendor-related reports, analyses, and strategic initiatives (e.g., supplier spend, performance metrics).
Vendor Onboarding & Relationship Management:
- Facilitate the operational aspects of new vendor onboarding, including collecting necessary documentation, entering data into systems, and coordinating initial setup tasks.
- Serve as a primary operational point of contact for ongoing vendor communications, including inquiries, information requests, and scheduling meetings.
- Engage directly with new and existing suppliers in meetings, supporting negotiations and helping to balance relationships effectively.
Cross-Functional Collaboration & Communication:
- Work seamlessly with various internal teams across Brilliant (e.g., Account Management, Production, Creative, Sales) to gather information, facilitate requests, and ensure smooth vendor interactions.
- Act as a liaison, ensuring clear and consistent communication between vendors and internal stakeholders.
- Adapt quickly to evolving company priorities and project needs, providing flexible support to cross-functional initiatives.
Supplier Sourcing & Research:
- Conduct research on potential new international and domestic suppliers based on identified product gaps or strategic needs.
- Compile comprehensive profiles of prospective vendors, including capabilities, specializations, and contact information.
Documentation & Training Support:
- Create, organize, and maintain internal resources, documentation, and Standard Operating Procedures (SOPs) related to vendor operations.
- Assist in developing training materials and support the Program Manager in delivering training sessions to internal teams on vendor-related tools and processes.
What You Bring
- 2 + years of experience in a client-facing, vendor relations, or operational support role. Experience within the corporate gifting space or merchandising/supply chain is highly preferred.
- Exceptional organizational skills and meticulous attention to detail, especially in data management.
- Demonstrated ability to build and maintain positive relationships with external partners or clients.
- Proficiency in data management and experience with internal software systems (e.g., CRM, ERP, project management tools).
- Highly adaptable and comfortable working in a fast-paced, ever-changing environment with evolving priorities.
- Strong interpersonal skills with the ability to communicate clearly and effectively, both written and verbally, with diverse personalities.
- Proactive, solutions-oriented mindset with the ability to independently manage multiple tasks and prioritize effectively.
- Proficiency in Google Workspace or Microsoft Office Suite (Excel, Word).
