We are looking for a real estate virtual assistant across all LATAM to support the day-to-day administrative, leasing, compliance, and reporting functions across multiple manufactured housing communities. This is an execution-focused role responsible for maintaining accurate records, processing leasing activity, supporting billing and maintenance workflows, and ensuring operational consistency across systems.
This role is best suited for someone who is highly detail-oriented, process-driven, and dependable, with experience supporting U.S.-based real estate or property management operations.
Key Responsibilities
Leasing, Resident Records & Compliance
- Manage leases, renewals, move-ins/move-outs, resident info sheets, and documentation in Rent Manager
- Run and track background and credit checks; record approvals/denials per Fair Housing guidelines
- Maintain complete, audit-ready resident files and support HUD, state, and park-level compliance
Billing, Collections & Maintenance Support
- Post rent, utilities, late fees, and one-time charges; assist with utility billing setups
- Identify and flag NSFs, delinquencies, and billing discrepancies; coordinate corrections with accounting
- Create, update, and track work orders in Rent Manager; upload invoices, notes, photos, and maintenance hours
Reporting, Data Accuracy & Communication
- Prepare weekly and monthly reports (occupancy, delinquencies, move-ins/move-outs, leasing pipeline)
- Validate data accuracy across Rent Manager and Google Sheets; flag exceptions, trends, and risks
- Serve as back-office support for Community Managers; communicate via Slack and email and escalate issues with documentation
Experience
- You must be bilingual. Please send an English resume.
- 2+ years in real estate back-office operations, property management, or similar operations roles
- Prior experience supporting U.S.-based clients preferred
- Proven Rent Manager proficiency
- Google Sheets, Docs, and Drive (intermediate to advanced)
- Working knowledge of U.S. leasing, billing, and compliance concepts
Work Expectations
- U.S. Central Time overlap required
- Daily time tracking (Hubstaff or equivalent)
- Strict SOP adherence; zero tolerance for data manipulation or shortcuts
