Business and Operations Assistant (Full-Time, Remote)

Job Type: Ongoing project / 30-40 hrs per week

Annual Salary: $55-60k yearly (contract, with room to evolve in both pay rate and leadership if desired)

Start Date: ASAP, with training overlap until February 2026

We’re looking for a detail-oriented, grounded, and highly organized Business and Operations Assistant to join our small but mighty team. This role goes beyond administrative work—you’ll have space to step into leadership, treat this as your “business within the business,” and be rewarded in alignment with the growth you help generate.

Responsibilities:

Operations and Systems: Manage Kajabi, Slack, Notion, Google Suite; ensure automations, payments, and links run smoothly.

Client Care: Handle inboxes, DMs, onboarding/offboarding, and group communications with warmth and clarity.

Marketing and Launch Support: Assist with funnels (emails, landing pages, WhatsApp groups), upload content, and support retreat logistics.

Project and Team Management: Maintain calendars, track deadlines, anticipate needs, and serve as Bela’s point of contact for contractors.

Must-Have Qualities:

You must have a minimum of 2 years of relevant experience to be considered for this role.

Extremely detail-oriented and organized (you love systems and order).

Tech-savvy (Kajabi/Slack/Notion/Canva or quick to learn).

Strong written and verbal communication skills.

Reliable, grounded, and loyal — available long-term (at least a year).

Excited about growth and efficiency.

Passionate about spirituality, psychology, or self-development.

Nice-to-have: Experience with funnels/launches, online education, content formatting, or light video editing.

Growth Path

This role begins at 30-40 hrs/week with an annual salary starting at $55-60k with potential to grow into an Operations Manager or COO-style role. We’re looking for someone committed and ready to grow with us long-term.

Deliverables

Well-organized and maintained systems across Kajabi, Slack, Notion, Google Suite, and WhatsApp.
Accurate tracking of payments, invoices, and follow-ups.
Clear, timely communication in inboxes, DMs, and group channels.
Smooth onboarding and offboarding of clients/students.
Funnels and launch materials uploaded, tested, and functioning (emails, landing pages, WhatsApp groups).
Content organized and scheduled across platforms.
Retreat logistics coordinated and documented.
Business calendar and deadlines consistently updated and met.
Regular status updates and proactive identification of upcoming needs.
Team collaboration supported by acting as the primary point of contact for contractors.
