Position Overview

We are seeking a reliable, detail-oriented Administrative Coordinator to support a boutique mental health practice that works closely with immigration-related services. This role is essential to client experience, scheduling accuracy, and case coordination.

You will often be the first point of contact for clients and professionals seeking time-sensitive mental health services connected to immigration matters. Clear communication, responsiveness, discretion, and strong organizational skills are critical.

Founded over six years ago, our practice is intentionally selective and well-scoped. We operate with organized systems, clear workflows, and established procedures, allowing us to work calmly, efficiently, and with purpose while providing thoughtful, high-quality care.

Responsibilities

Client Inquiry & Communication

Respond promptly to email, phone, and text inquiries
Check and respond to communications at least three times daily on weekdays
Communicate with clients in a calm, professional, and respectful manner
Answer procedure- and scheduling-related questions
Coordinate and schedule appointments

Administrative & Case Support

Update internal rosters accurately and consistently
Send required intake and consent forms through the practice system
Monitor completion of forms and follow up as needed
Document case-related information clearly
Collect and document payments when required

Qualifications & Skills

Spanish-speaking required
Prior experience in healthcare, or legal-related settings preferred
High attention to detail and accuracy
Honest, respectful, and professional communication style
Able to work independently and follow established procedures

Compensation

Independent Contractor (1099) position
Starting at $40 per hour, based on experience
Opportunity for rate increases over time, based on performance and consistency
