Our client, a Founder involved in multiple real estate/investment organizations is looking a highly skilled and dependable Senior Executive Assistant to provide comprehensive support to a senior leader managing a diverse portfolio of businesses. This role requires a proactive and detail-oriented individual with exceptional organizational skills to handle administrative, financial, and communication tasks effectively. We are looking for a career Executive Assistant with at least seven years of C-level support work to assist 10-15 hours a week.

Responsibilities:

• Oversee and manage the executive’s calendar, scheduling meetings and appointments while balancing personal and organizational priorities.

• Coordinate and send reminders for meetings, ensuring all necessary materials are prepared in advance.

• Assist with basic bookkeeping tasks such as expense tracking, account reconciliation, and financial reporting for multiple entities.

• Facilitate wire transfers and process payments across various business and personal accounts with precision.

• Maintain accurate records of all financial transactions and ensure timely bill payments.

• Organize and manage digital files, ensuring security and accessibility for important documents.

• Draft and proofread correspondence, reports, and other documents as needed.

• Act as a communication liaison, screening and prioritizing calls and messages while escalating urgent matters appropriately.

• Support special projects and conduct research related to the executive’s businesses.

• Perform additional administrative tasks to streamline the executive’s workload.

• Proven experience in an executive or administrative assistant role supporting senior leadership.

• Strong organizational and time management skills with a high level of attention to detail.

• Proficiency in tools such as Google Workspace, Microsoft Office Suite, and accounting software like QuickBooks.

• Familiarity with basic financial processes, including expense tracking and reconciliations.

• Ability to process wire transfers and maintain confidentiality with sensitive financial information.

• Excellent written and verbal communication skills.

• High level of discretion and professionalism in handling confidential matters.
