Position Overview
We are seeking a detail-oriented and organized Administrative Assistant/Bookkeeper to join our client's team. This role will manage day-to-day administrative operations, handle booking inquiries, maintain financial records, and support various organizational needs. The ideal candidate is self-motivated, resourceful, and comfortable managing multiple priorities simultaneously.
This is a fully-remote role and you will be hired as a contractor.
Key Responsibilities
Booking Management
- Respond to and process booking inquiries using Hostaway software
- Manage guest information and update booking records
- Flag complex booking scenarios that require management involvement
- Provide guests with directions and general information
Financial Management
- Set up and maintain basic bookkeeping systems using QuickBooks
- Track income and expenses and prepare basic financial reports
- Ensure non-profit compliance by researching and maintaining required documentation
- Assist with financial record-keeping and documentation
Communications
- Create, format, and send newsletters and other communications via Mailchimp
- Manage and respond to general inquiries
- Coordinate with donors and maintain donor relationships
- Liaise with local vendors and delivery services
Administrative Support
- Organize and maintain digital files in Google Drive
- Coordinate supply orders through Amazon
- Arrange furniture pickups and deliveries with drivers
- Provide general administrative support as needed
Required Skills
- Excellent organizational and time management skills
- Strong written and verbal communication abilities
- Detail-oriented with a commitment to accuracy
- Proficiency with Google Workspace (Docs, Sheets, Drive)
- Ability to learn new software platforms quickly
- Self-motivated and able to work independently
Preferred Qualifications
- Experience with QuickBooks or similar bookkeeping software
- Familiarity with Mailchimp or similar email marketing platforms
- Previous experience with property management or booking systems
- Knowledge of non-profit compliance requirements
- Customer service experience
