The Remote Personal Assistant will work directly with executives or department heads, providing high-level administrative support. This includes managing calendars, coordinating meetings, handling confidential documents, preparing reports, and serving as a liaison across departments. Strong communication skills and insurance industry awareness are key to success in this role.
Responsibilities:Manage executive calendars, schedule meetings, and coordinate travel (as needed)
Screen and prioritize emails, calls, and other communications
Prepare agendas, presentations, reports, and insurance documentation
Assist with onboarding, meeting coordination, and internal correspondence
Help track important deadlines (e.g., policy renewals, compliance filings)
Organize and maintain confidential files and CRM records
Conduct light research and compile briefs for decision-making
Support departmental projects, initiatives, and virtual events
Serve as a communication bridge between executives and staff/clients
Qualifications:1+ years of experience as an executive assistant or personal assistant
High level of discretion and professionalism when handling confidential information
Strong verbal and written communication skills
Advanced proficiency with Google Workspace or Microsoft Office (Outlook, Excel, Word, PowerPoint)
Familiarity with CRMs (Salesforce, HubSpot, or industry-specific platforms like Vertafore or Applied)
Self-motivated, detail-oriented, and able to manage multiple priorities
Reliable internet connection and home office setup
