Administrative Coordinator – Legal Department

Position Overview
The Administrative Coordinator will support the legal department and the Chief Legal Officer (CLO) in managing corporate documentation, internal processes, and administrative workflows. This role requires excellent organisational skills, discretion, and the ability to juggle multiple priorities in a fast-paced, international environment.
The ideal candidate is detail-oriented, proactive, bilingual (French and English), and able to ensure smooth coordination of documentation and communication across the company.
Key Responsibilities
Document & Knowledge Management
- Maintain and organise the company’s digital document library (contracts, policies, corporate records)
- Ensure version control and efficient retrieval of legal and administrative documents
- Assist with basic reviews of forms and documents
- Track and archive signed agreements in DocuSign and other systems
Administrative & Financial Coordination
- Process incoming invoices and assist with purchase orders (POs)
- Monitor contract approval and signature workflows
- Support preparation of reports, trackers, and summaries for management
Policies & Internal Communication
- Distribute and update company policies and procedures
- Communicate process changes across teams in a clear, structured way
- Act as a point of contact for employees with questions on administrative processes
Support to the CLO
- Provide direct administrative support on legal and compliance matters
- Coordinate follow-ups on deadlines and deliverables with internal stakeholders
- Schedule and prepare materials for meetings related to contracts, policies, and compliance
