About the Role:
We are seeking an experienced Agency Operations & Client Success Manager to serve as the operational backbone of our agency. This is a hands-on role that combines process management, client delivery, team leadership, and financial oversight to ensure our agency runs smoothly and scales effectively. You will work closely with the founder to translate business priorities into actionable execution plans while maintaining high standards across client campaigns, contractor performance, and operational workflows.
Key Responsibilities
Agency Operations & Process Management
- Build, document, and continuously improve SOPs for client onboarding, campaign launches, optimization workflows, and reporting.
- Own and maintain internal project management systems (preferably Notion).
- Track deliverables and ensure deadlines are consistently met.
- Identify operational bottlenecks and implement process improvements.
Client Delivery & Account Support
- Oversee client onboarding and ensure smooth campaign launches.
- Coordinate efforts between media buyers, creatives, and support teams.
- Register, license, and bond client giveaways if required.
- Ensure clients receive consistent communication and performance reporting.
- Step in to resolve operational issues affecting client performance or satisfaction.
Contractor & Team Management
- Manage contractors and remote team members (media buyers, creatives, developers, VAs).
- Conduct weekly accountability meetings and performance check-ins.
- Hire and onboard new contractors as workload increases.
- Set clear expectations, KPIs, and ownership across roles.
Financial Operations & Cash Flow Support
- Oversee invoicing, collections, and payment tracking.
- Ensure billing processes are followed and clients remain current.
- Coordinate with bookkeeping and accounting partners.
- Track basic agency KPIs: revenue, expenses, margins, and utilization.
Founder Leverage & Strategic Execution
- Take administrative and operational tasks off the founder’s plate.
- Translate business priorities into execution plans.
- Proactively surface risks, staffing needs, and growth constraints.
- Act as the operational right hand to leadership.
- 5+ years of experience in agency operations, client services management, or digital marketing operations.
- Strong understanding of performance marketing agency workflows.
- Experience managing remote teams and contractors.
- Highly organized with strong systems and documentation skills.
- Comfortable holding people accountable and driving execution.
- Able to prioritize under pressure and manage multiple active clients simultaneously.
- Excellent communication skills in English.

- Not purely strategic — this is a hands-on execution role.
- Not just project coordination — full ownership of operations and delivery is expected.
- Not a junior administrative role — must be comfortable managing people, processes, and systems.
