Formula Fitness is a premier boutique personal training gym located in Los Alamitos, California, specializing in semi-private training for adults over 30. As a growing business approaching $1M in annual revenue, we are looking for a dedicated and highly technical Virtual Assistant to join our team. This is a full-time, long-term position designed for a professional who seeks ownership over systems and thrives in a data-driven environment.
Position Summary
We are seeking a "hybrid" specialist capable of managing two critical areas: technical automation and marketing execution. The ideal candidate is a problem-solver who does not just follow a checklist but thinks critically to build scalable solutions. You will be a key player in our operations, responsible for maintaining the infrastructure that allows our business to scale efficiently.
Primary Responsibilities
Technical & Automation (Priority)
- Build and maintain complex workflows, triggers, and automations within GoHighLevel.
- Manage platform integrations (MindBody, GoHighLevel, WordPress, Google Sheets) using Zapier, Make, or APIs.
- Perform regular updates and maintenance on our WordPress website, including landing page creation and plugin management.
- Utilize AI tools (ChatGPT, Claude, Gemini) to develop chatbots, draft workflow logic, and automate internal documentation.
- Build data dashboards and pull weekly reports to support data-driven decision-making.
- Create and maintain detailed Standard Operating Procedures (SOPs) for all newly implemented systems.
Marketing Execution
- Execute and monitor email and SMS marketing campaigns within GoHighLevel.
- Manage social media scheduling, posting, and community engagement.
- Design marketing collateral using Canva and write compelling copy for promotions and organic content.
- Monitor lead flow within the CRM to ensure timely follow-ups and pipeline health.
- Support local SEO efforts, including Google Business Profile management and review generation.
- Technical Mastery: Proven experience with GoHighLevel (CRM/Automations) and Zapier/Make is mandatory.
- Platform Experience: Familiarity with MindBody, WordPress, and Monday.com is highly preferred.
- AI Proficiency: Advanced experience using ChatGPT, Claude, and Gemini for content and automation logic.
- Analytical Mindset: Ability to interpret data and translate it into actionable marketing or operational insights.
- Autonomy: A self-starter who can take a high-level goal and execute it with minimal supervision.
- Communication: Proactive communicator with full professional proficiency in English.
- Hours: Full-time (40 hours per week).
- Schedule: Must have significant overlap with Pacific Time (PT) for real-time collaboration.
