MTR, PO & Logistics Coordinator (Full-Time)
We’re looking for a highly organized and detail-oriented team member to manage Mill Test Reports (MTRs), confirm Purchase Orders, and help align our Logistics Board. This role is essential in bridging the gap between shipping and sales, ensuring accuracy and flow across three main modules: the Tracking Board, and both the Purchase Order & Sales Order Expedite Screen.
You’ll take the burden off our Sales Team by owning vendor confirmations, scanning documents from the field, and making sure every MTR is attached correctly before shipment. We want our Sales Team selling—not tracking paperwork. That’s where you come in. You’ll be their behind-the-scenes angel, keeping things moving with clean logistics, timely PO follow-ups, and flawless MTR documentation.

This person will confirm all Purchase Orders placed by our Team members. You will directly remove the need for our sales team to track Purchase Orders. We want our Sales Team Selling. You will be their angel working in the background to help keep sales, purchasing and mill test organized.
Mill Test Reports
Confirming that we have seamless integration with our Mill Test Reports, our ERP and our Mill Test Management company, Smartcert. You will ensure all Mill Test Reports are assigned to the correct Lot/Heat numbers. Shipping’s job is to provide accurate Heat Numbers to you. Your job specific to Mill Test Reports is to ensure that a digital PDF is in our system, attached to that lot so when we ship the order, all Mill Test Reports print when we generate the Packing List.
Purchase Orders
You will be notified of each Purchase Order generated and issued by the team. Your responsibility will be to engage with each Vendor to ensure that we receive an order confirmation and copy of Mill Test Reports. This is critical to our STC Process. You will be working directly with our Drivers to support this function. Critical will be to use the Scan Function in the field to ascertain documents provided to our Team Drivers at time of material pick up. We will train you, just know you will be a key liaison for this role.
Logistics Board
You will confirm Orders are progressing through the system to match the Shipping Team’s delivery schedule and confirm delivery of schedule. Your key responsibility is to ensure that our Purchase Order Expedite Screen and Sales Order Expedite Screen match the logistics board.
Future Opportunity
If you master this skill set from a remote position, we would ultimately like to move you into a sales order capacity and ultimately find your replacement. In Sales, you would have an opportunity to support team members from afar, working on quotes and sales order conversations. This role and supporting position would come with a commissionable program to help you grow your income with us through sales-driven, performance-based metrics tied directly to quote conversions and sales.
Key Responsibilities
• Manage the integration and assignment of Mill Test Reports to correct Lot/Heat numbers in our ERP and Smartcert systems.
• Verify that all outgoing orders have the correct MTRs digitally attached to the packing lists.
• Confirm receipt of Purchase Order acknowledgments and documentation from vendors.
• Use our Scan Function to gather documents from field drivers and vendors during pickup.
• Monitor the Logistics Board and ensure it matches both the Sales and Purchase Order Expedite Screens.
• Communicate clearly and consistently with our Shipping and Sales teams when discrepancies occur.
• Maintain vendor correspondence and help enforce STC process requirements.
• Support accurate documentation for all inbound and outbound shipments.
Qualifications
• Experience with ERP platforms. Please apply with direct ERP experience.
• Advanced Excel skills and ERP familiarity.
• Excellent communication and coordination skills across departments.
• Highly reliable and detail-oriented with strong task tracking habits.
• Comfortable using scanning apps and uploading digital PDFs into structured folders.
• Experience working with logistics, shipping documents, or technical certifications (preferred).
• Must have high-speed internet and be available during Pacific Time business hours.
• Willingness to learn our systems and become the go-to team member for tracking MTRs, POs, and delivery flow.
Preferred
• Experience with ERP platforms.
• Familiarity with Mill Test Reports, heat numbers, and document auditing.
• Prior exposure to shipping and logistics coordination.
• Background in industrial supply chain or metals industry is a plus.

Location: Remote – Must operate during Pacific Time (8:00 AM – 4:30 PM PST), Support our Sales Team in Real Time.
Hours: 40 hours/week
Pay: $1,000 USD/month (negotiable depending on experience)
