Position Overview:
We are hiring a Tax & Administrative Assistant to support both tax preparation and internal firm operations. This fully remote role is ideal for someone who has worked in an accounting or CPA firm and is eager to contribute across departments — from client service and tax form management to partner support and administrative coordination.
Although the role is remote, candidates must have reliable transportation and be available for occasional local tasks such as mail runs or supply drop-offs (typically within Southern California).
Key Responsibilities:
Tax & Accounting Support:
- Assist with preparing and organizing client tax documents and e-filings
- Input and review data in Lacerte and QuickBooks Online
- Maintain spreadsheets and trackers for tax deadlines, liabilities, and client communications
- Manage filings: including Power of Attorney (POA) forms, IRS Form 2553 (S-Corp election), Statement of Information filings, etc.
- Monitor filing statuses and follow up on pending submissions
- Support finalization of tax returns and filing processes (electronic and paper)
Administrative & Partner Support:
- Manage communications: respond to and route calls, texts, and emails professionally
- Handle document collection, e-signatures, and file organization via ShareFile
- Assist partners with internal scheduling, calendar coordination, and travel planning
- Monitor and manage incoming firm mail; coordinate mail forwarding or drop-offs as needed
- Support internal projects, recurring task tracking, and team-wide coordination
- Run occasional local errands (e.g., mail drop, supply runs — mileage reimbursed)
Qualifications:
- 1–3 years of experience in a CPA firm or accounting office preferred
- Strong organizational skills with attention to deadlines and details
- Tech-savvy and comfortable using Excel, Gmail, Adobe PDF, and Google Workspace
- Familiarity with Lacerte, QuickBooks Online, and online government portals is a plus
- Excellent communication and client service skills
- Reliable transportation required for local errands (Southern California area)
- Bilingual in English and Spanish is a plus
Compensation & Benefits:
- Hourly Pay: $25/hour depending on experience
- Bonus: $5,000 signing bonus (paid over 5 months)
