Position Summary
The Operations Administrative Coordinator provides critical administrative, analytical, and communication support to the Vice President of Operations and Director of Operations. This role ensures smooth execution of operational engagements across rural and critical access hospitals by managing escalation intake, logging and tracking issues, preparing routine reports, and assisting with workflow documentation and project coordination.
The ideal candidate is detail‑oriented, highly organized, and comfortable supporting fast‑paced, hands‑on operational work. They will interact directly with internal leaders and client‑side administrative and operational teams, ensuring communication is timely, accurate, and aligned with Cosyn’s operator‑led, empathetic, and results‑driven approach.
Key Responsibilities
Escalation Management & Client Support
· Serve as the first point of contact for client submitted escalations from hospital partners.
· Log, categorize, and prioritize escalations in established tracking tools.
· Route escalations to the VP, Director, or appropriate team members based on defined workflows.
· Track escalation status through resolution and document outcomes.
· Provide timely, professional communication to clients regarding progress or next steps.
· Identify trends in escalations and flag recurring issues for operational leadership, supporting improvement initiatives.
Operational & Administrative Support
· Assist in preparing meeting agendas, capturing meeting minutes, and documenting action items.
· Support the creation and maintenance of workflow documents, operational assessments, and client-facing materials.
· Organize files, reports, and SOPs to support the VP and Director in delivering structured, repeatable operational processes.
Data & Reporting Support
· Pull basic performance data from dashboards, RCM systems, or client provided files.
· Conduct preliminary analysis (e.g., trends, variances, data completeness checks).
· Prepare summary reports, charts, or briefing materials for the VP and Director of Operations.
· Support the development of recurring performance updates for client leadership.
Project Coordination
· Support planning and execution of operational engagements, ensuring tasks remain on schedule.
· Maintain shared project trackers, timelines, and deliverable logs.
· Coordinate communication between internal teams (operations, systems engineering, BI) and client contacts.
Technology & Workflow Support
· Assist with documenting process changes, workflow improvements, and new operating procedures. This includes retaining this knowledge for support of vendor or internal partners.
· Help collect feedback from client staff regarding technology or workflow challenges and route them appropriately.
Qualifications
Required
· 2–4 years of administrative experience supporting operational, healthcare, consulting, or revenue cycle teams.
· Strong organizational skills with the ability to manage multiple priorities in a fast- paced environment.
· Excellent written and verbal communication skills, with an emphasis on clarity and professionalism.
· Basic data analysis skills using Excel, Google Sheets, or BI dashboards.
· Ability to work with cross functional teams and interact professionally with healthcare leaders.
· High level of discretion, integrity, and confidentiality — aligned with Cosyn’s values.
Preferred
· Experience in healthcare operations, hospital administration, or revenue cycle.
· Familiarity with EHR or RCM systems, RPA/automation tools, or workflow documentation.
· Prior experience with rural or community hospital environments.

Pay: $22.69 - $25.00 per hour
