Position Summary: The Manager, Credentialing is responsible for overseeing the administration of the Functional Medicine Certification Program, effectively strategizing the candidate’s experience in alignment with the integrity of the certification, exam, and maintenance of certification (MOC)/renewal processes.
Essential Functions
Credentialing Management & Strategy
- Responsible for managing the full candidate lifecycle, from initial certification application to credential renewal, to ensure a positive user experience for certification candidates.
- Assists with development and implementation of new maintenance of certification (MOC) program for certification renewal.
- Helps to develop and implement a new Approved Provider program for external education providers offering functional medicine education and training.
- Helps to establish policies and processes for certification committees, including Appeals and Ethics and Discipline. Serves as staff liaison to committees or assigns a designee to serve as liaison.
- Conducts program feedback, tracks data and program analytics, and, in collaboration with supervisor, uses data to inform strategy of certification program.
- Prepares and presents regular reports on operational performance and key metrics.
- Develops and implements quality assurance practices to ensure the effective delivery of the certification program.
- Leads continuous improvement initiatives to enhance program quality and candidate experience.
- Recommends new and/or updated certification policies and processes, including internal policy manual, candidate handbook, and Standard Operating Procedures (SOPs) and is responsible for implementation upon approval.
- Ensures exam delivery meets established standards including testing center network availability and online proctored exam delivery.
- Prepares and manages annual budget of relevant certification expenses.
- Project management for certification program delivery and other credentialing initiatives.
- Collaborates with Marketing and Customer Relations teams to promote certifications and ensure candidate, applicant, and certificant FAQs, webpages, and other documentation are regularly updated.
- Provides certification support during live programs and Annual International Conference (AIC) as needed.
Credentialing Program Administration
- Responsible for managing the tools and technology relevant to the certification application and MOC processes, as well as credential issuance and management processes.
- Facilitates implementation of a new Credentialing Management System (CMS), becoming a technical expert in the CMS, administering the CMS, serving as the primary liaison to the CMS vendor, analyzing system functionality and features, and making recommendations for system maintenance and continuous improvement.
- In collaboration with Supervisor, Marketing, and other team members, participates in the development and implementation of a digital badging solution for certification holders.
- Identifies and develops SOPs for program administration and technical documentation for use of CMS.
- Primary liaison to exam delivery vendor including managing contracts, policy implementation, candidate seating, issue resolution, inquiries or escalations, reasonable accommodations requests, and rescheduling for twice-annual exam delivery windows.
- Oversees and/or supports security practices for exam administration, including candidate enforcement or escalation due to potential exam irregularities.
- Approves and resolves all customer inquiries requiring escalation such as eligibility, payments, refunds, retest requests, reasonable accommodations, and certification renewal.
- Reviews and helps select vendors according to organization and program needs and priorities.
- Manages relationships with vendors according to organization policy and contract terms.
Leadership & Supervision
- Manages functional activities of the Credentialing team, providing clear and communicative leadership.
- Assesses work activities and resource needs of team and delegates accordingly.
- Conducts regular performance evaluations and collaborates with employee(s) to identify custom priorities and performance focus areas for the short and long term.

- Responsible for managing and mentoring employees, providing guidance, support and training on responsibilities as needed.
Other Functions

- This role may perform duties not listed in the essential functions, but which are essential to the Manager, Credentialing.
What We’re Looking For
- Experience with administering education, licensure and/or certification programs.
- Experience delivering multiple, complex projects.
- Experience managing teams.
- ICE-CCP or ICE Credentialing Specialist preferred.
- Knowledge of credentialing program administration and best practices.
- Knowledge of tools and technology relevant to credentialing.
- Knowledge of governance.
- Strong technology skills, ability to learn and become expert in new tools and systems
- Strong data and analysis skills, ability to analyze reports and other data to inform decision making
