Our office is located in Huntington Beach and is conveniently located near the 405 freeway and Bella Terra.
About the Position
This part-time, entry level position is responsible for supporting our team and will assist with a variety of administrative tasks such as data entry, filing, technical support and office management. The Administrative Assistant will have direct contact with our clients and will be responsible for providing written correspondence and other legal documents. As such, the selected candidate must have strong customer service skills and excellent attention to detail. This is a great opportunity for someone who is interested in pursuing a career in the legal field.
This is a remote position where the administrative assistant will primarily work independently from home. The Young Thomas Law team is primarily remote, but there is regular interaction virtually with the team. In person training and other in-office work may sometimes be required, on an as-needed basis.
Schedule
We are looking for someone to work 16-24 hours per week. We are flexible on selecting the schedule as long as it is during standard business hours over two to three weekdays, provided however, that once selected, everyone adheres to the agreed schedule.
Compensation and Benefits
The compensation for this position starts at $25 per hour. This position is eligible for paid vacation, sick leave and holidays, with a raise to $27 after successful completion of probationary period.
Essential Position Responsibilities
- Assist with generating billing and invoices for Young Thomas clients.
- Track and record client costs for invoicing.
- Assist in collecting client information in preparation for attorney meetings.
- Complete fee agreements, collect signatures and file after execution.
- Electronically file all incoming office mail and client documents.
- Support the team with legal documents such as correspondence, discovery, pleadings, etc.
- Proofread and make corrections to firm correspondence.
- Receive, understand and process information from attorneys and clients.
- Assist with website updates and management.
- Post blogs and other web/social media content monthly.
- Assist with managing and maintaining IT infrastructure.
- Communicate regularly with vendors regarding billing inquiries and payment requests.
- Coordinate domestic and international travel, including flight, hotel, and car reservations.
- Coordinate team meetings and team calendars.
- Other duties as assigned.
Education and Experience
- 1 year of administrative experience.
- Some education preferred.
- Some bookkeeping experience preferred.
Qualifications
- Reliable, trustworthy and the ability to stay motivated while working independently.
- Impeccable attention to detail.
- Strong technology skills and the ability to learn new software.
- Good written and verbal communication skills.
- Good interpersonal skills and the ability to work with a variety of individuals.
- Familiarity with Microsoft Word, Outlook and PowerPoint
- Ability to keep information confidential.
- Comfortable working as part of a small team.
- Some familiarity with QuickBooks preferred.
