The Role
We're seeking a highly organized and detail-oriented Operations Coordinator to serve as the operational backbone of our US business. This is a pivotal role where you'll manage the full spectrum of day-to-day operations - from inbound shipments and inventory control to sales order processing, logistics coordination, and bookkeeping. You'll work closely with our UK headquarters while having autonomy to manage US operations efficiently.

Key Responsibilities
Supply Chain & Inventory Management:
- Coordinate inbound shipments from international supplier
- Organize warehousing arrangements with third-party suppliers
- Maintain accurate inventory control and stock level monitoring
- Create and manage purchase orders
Sales Operations & Logistics:
- Receive and process sales orders accurately and efficiently
- Coordinate outbound freight, collections and LTL (less-than-truckload) shipments
- Manage logistics providers and ensure timely deliveries
- Handle order collections and customer communication/coordination
Financial Administration:
- Generate and send customer invoices
- Process payments and maintain payment records
- Perform basic bookkeeping and account reconciliation
- Support month-end financial and stock accounting processes
Cross-Atlantic Collaboration:
- Work closely with UK team demand forecasting using lean principles
- Communicate inventory needs and sales trends
- Coordinate between US operations and international headquarters
What We're Looking For
Essential Skills & Experience:
- Proven experience in operations, administration, or logistics coordination
- Strong organizational skills with exceptional attention to detail
- Experience with inventory management and purchase order systems
- Basic bookkeeping knowledge (invoicing, payments, reconciliation)
- Familiarity with LTL freight and logistics coordination
- Excellent written and verbal communication skills
- Proficiency with business software (experience with Zoho or similar platforms is a plus)
- Comfortable working across time zones with international teams
Ideal Candidate Qualities:
- Self-starter who can work independently and take initiative
- Problem-solver with a solutions-oriented mindset
- Adaptable and comfortable wearing multiple hats
- Strong relationship-building skills with suppliers and customers
- Interest in or passion for horses and equine industry (highly desirable)
Nice to Have:
- Previous experience in the equine, agricultural, or feed industry
- Knowledge of import/export procedures
- Experience with warehouse management systems
- Familiarity with US business administration
