Job Title: Administrative Assistant - Industry Relations
Reports To: Director of Industry Relations
Group: Strategy & Engagement
FLSA Status: Nonexempt
Location: Southern California with Flexibility (Hybrid/Remote Opportunities)
- Primarily remote but must be located in Southern California for occasional in-person meetings
Compensation Range: $26.44/hr - $31.25/hr

The Role:
The Administrative Assistant – Industry Relations will work closely with the Strategy & Engagement team to provide comprehensive administrative, operational, and project support. This individual will manage scheduling and logistics, assist in maintaining member engagement tools and data, and support the team’s communications and reporting functions.
Key functions include maintaining and updating the Strategy & Engagement calendar, tracking program metrics, managing member segment lists, supporting Diversity Champions initiatives, coordinating meeting logistics, and assisting with website and social media updates (experience with Sitecore is a plus). The position requires excellent attention to detail, organizational skills, and the ability to work independently while contributing to a collaborative team environment.
Key Responsibilities:
Administrative and Program Support
- Maintain the Strategy & Engagement calendar, ensuring all events, programs, and deadlines are up to date.
- Provide administrative support for the Senior Vice President and program managers of the Strategy & Engagement group including scheduling, meeting coordination, and tracking participation.
- Maintain and update member segment lists and databases for accuracy and completeness.
- Support Strategy & Engagement program managers with data entry, reporting, and other administrative tasks.
Meeting and Event Logistics
- Coordinate meeting logistics, including creating Zoom meetings/events, preparing agendas, sending invitations, and distributing reminders.
- Assist with the creation of meeting materials, notes, and follow-up actions.
Website and Communications
- Update and maintain Strategy & Engagement webpages using Sitecore (experience preferred).
- Assist in posting news, resources, and updates relevant to the program’s objectives.
- Support the Strategy & Engagement team with content coordination and light posting to social media channels to share program updates, event announcements, and engagement opportunities.
Tracking and Reporting
- Track Strategy & Engagement program metrics, including event participation, web visits, and engagement analytics.
- Assist in compiling and maintaining regular reports to support program evaluation and improvement
Additional Primary Responsibilities:
- Support program managers with survey administration, data collection, and metric reporting.
- Assist in preparing internal and external communication materials.
- Help manage content and postings for the Strategy & Engagement section of car.org.
- Perform clerical and administrative duties as needed by the department.
Minimum Requirements:
- Some college required; Bachelor’s degree preferred.
- 2–4 years of administrative experience, preferably in a professional or corporate setting.
Skills Required:
- Strong organizational, multitasking, and administrative skills.
- Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint, etc.) and familiarity with Google Workspace tools.
- Experience with Sitecore or similar content management systems preferred.
- Excellent written and verbal communication skills.
- High attention to detail and ability to track multiple projects simultaneously.
- Strong customer service orientation and ability to work collaboratively with diverse teams.
